Signing Off on Systems and Policies

1. Understand the Agree and Sign-Off Function
The Agree function creates a formal register of which team members have read and understood a specific system, policy, or training.

Only members assigned to the system (as owners, secondary owners, or through roles) will see the Agree button.
- When a user clicks Agree, the system generates a permanent, non-editable timestamp with the date and time of sign-off.
2. Monitor Compliance via the Agree Log
As an owner or admin, you can track who has and hasn't signed off on their responsibilities.

Open the system and enter Edit mode.
- Click on the Agree Log button.
- This window displays a list of all assigned users and highlights those who have not yet clicked the "Agree" button.
3. Manage the Sign-Off Workflow
If you need to ensure the team completes their review, follow these escalation steps:

Comment & Notify: Add a comment at the bottom of the system (e.g., "Hey team, please review and agree") and then click the Notify button at the top of the page. This sends a general email to all assigned members.

Agreement Reminders: If users still haven't signed off after a few days, return to the Agree Log and click Notify next to specific names to send a targeted email reminder.

Direct Mentions: For urgent sign-offs, use the @ symbol in the comments to tag a specific user, which sends an immediate direct notification.
4. Handle Updates and Re-Signings
When you make a significant update to a process, you may want everyone to sign off on the new version.

Reset the Log: Go to the Agree Log and click Reset. This will clear all previous timestamps and set all users back to "Not Agreed."

Notify of Changes: Use the Notify button to alert the team that a significant update has been made and they are required to review the content again.
5. Export for Records
If you need an offline version of your compliance data:

Open the Agree Log.

Click the Export (or Print) icon.

This generates a document you can save or print to prove that your team has been trained on specific policies or systems.
