Creating Your Own Master Templates (Champion-tier)

Learn how to create, publish, and update custom Master Templates, allowing SYSTEMologist Certified consultants and Champion-tier subscribers to share generic, framework-based documentation across multiple client accounts.

🏗️ What are Master Templates?

Master Templates are the pre-built systems, policies, and training your clients see when they look at the "Built-In Templates" library inside their account.

If you are a SYSTEMologist Certified consultant or hold a Champion-tier subscription, you can create and publish your own Master Templates, which is content you have built once that all your client accounts can copy from.

ℹ️ Note: This feature is exclusive to Champion-tier and SYSTEMologist Certification accounts only. Standard accounts can use the built-in templates we provide, but they cannot create their own Master Templates.


🚀 How to Create a Master Template

  1. Navigate to the sidebar and go to Admin -> Master Templates.
  2. Pick the document type: System, Policy, or Training.
  3. Click Add new template.
  4. Build your document content while incorporating these crucial template-specific steps:
    • Use generic placeholders (e.g., [Company Name], [Customer Email]) so the template is completely reusable.
    • Avoid using client-specific examples or branding.
    • Add a detailed Document Overview, as this is the exact text clients will see when browsing your template library.
  5. Click Save.

By default, all new templates start as drafts. They will not be visible to your clients until you officially publish them.


📢 Publishing a Master Template

When your template is ready for your clients to use, follow these steps to make it live:

  1. Open the draft template and click Publish.
  2. Choose which client accounts have access to the document (options include: all accounts, specific accounts, or filtered by subscription tier).
  3. Click Confirm.

Published templates will appear instantly in the Built-In Templates section of each selected client account. Clients can then copy the template into their own active folders and customise it from there.


🔄 Updating a Master Template

When you update a published template, you have two options for how those changes are handled across the network:

  • Update the Master only: The new version becomes available for all new copies made from that point forward, but existing clients who have already copied the old version will not see any changes.
  • Push update to clients: Clients who have previously copied the template are automatically notified that an official update is available, allowing them to choose whether to apply it to their document.

⚠️ Important: Updating a Master Template never overwrites a client's customisations without their explicit consent.


💡 Best Practices for Template Design

  • Build around frameworks: Design your templates around core business frameworks, such as the Critical Client Flow (CCF), Minimum Viable System (MVS), or the broader SYSTEMology methodology, rather than hyper-specific industry use cases.
  • Use clear find-and-replace placeholders: Include bolded placeholder text that clients can quickly scan, find, and replace with their own company details.
  • Keep video links generic: Keep video embeds out of your templates unless the video content is completely generic, as removing client-specific videos from templates is a common admin cleanup task.
  • Align with the curriculum: Group your templates into structured folders that match the official SYSTEMology curriculum to give your clients a familiar learning pathway.
