How to Create a Rock-Solid Staff Onboarding Process with systemHUB

The perfect staff onboarding process sets the tone for how your company works - here are a few tips to get it right.

1. Understand the Tools

To successfully onboard new staff, you must distinguish between the "how-to" and the "who/when."

  1. systemHUB: Houses the how-to (Systems), the rules of the game (Policies), and the context (Training).

  2. Project Management Tool (Asana, Trello, etc.): Manages who does what by when. This acts as a checklist of milestones that team members tick off as they complete tasks.

2. Set Up Your Onboarding Checklist

Create a template in your project management tool that outlines the milestones a new hire needs to achieve.

  1. Administrative Tasks: Include steps for duplicating the template and collecting necessary tax or employment documentation.

  2. Milestones: List specific requirements, such as "Read Staff Handbook" or "Complete SEO Training."
  3. Link to systemHUB: For every milestone that requires instructions, include a direct link to the relevant System, Policy, or Training page in systemHUB.

3. Utilize Policies and Systems

Direct your new hires to the Policies section of systemHUB to get them acclimated to your company culture and rules.

  1. Staff Handbook: Have them review core values, company structure, and team member obligations.

  2. Operational Systems: Point them toward the specific "how-to" guides for the tools they will use daily (e.g., how to log time or use communication tools like Slack/Skype).

4. Provide Context with Training

Use the Training section to give new employees the "big picture" of their role.

  1. Pre-loaded Courses: Assign relevant pre-loaded systemHUB courses (e.g., SEO or Authority Content) to build their foundational knowledge.

  2. Custom Workshops: Record your own internal workshops or "day-in-the-life" videos and upload them to the Training area. This helps the employee understand how their specific tasks fit into the larger organizational puzzle.

5. Final Review and Sign-off

Once the team member has ticked off all milestones in the project management tool:

  1. The Supervisor should check the project thread to confirm completion.

  2. Schedule a brief check-in to answer any remaining questions and confirm the new hire's understanding of the systems.
