How to Delete/Deactivate Members
Secure your systems and policies by removing or deactivating systemHUB users - it's easy once you know how!
📋 Before You Begin
To deactivate or delete team members, you must be either:
- The Company Owner, or
- A user with Admin permissions
If you don’t have the required access level, these options will not be available.
⏸️ Deactivating a Team Member
Deactivating a team member disables their ability to log in while keeping all of their existing system relationships intact.
🤔 When to Use Deactivation
- A team member is temporarily away
- You want to pause access without removing their account
- You may need to reactivate them later
🛑 What Happens When a User Is Deactivated?
- The user can no longer log in
- Their assigned systems remain unchanged
- Any systems they created remain intact
- Primary and secondary ownership assignments stay the same
🛠️ Steps to Deactivate a Team Member
- Navigate to the Company area.
- Locate the team member.
- Click the Deactivate icon beside their name.
Once the icon turns red, the user’s login access has been disabled.
🔄 Reactivating a Team Member
If you need to restore access later:
- Return to the Company area.
- Find the deactivated user.
- Click the Deactivate icon again.
The user will then be able to log in normally.
❌ Deleting a Team Member
Deleting a team member permanently removes them from your account. Before the user can be deleted, systemHUB will require you to reassign ownership of any systems they were connected to.
📋 What Needs to Be Reassigned?
If the user was assigned as:
- A Primary Owner
- A Secondary Owner
You’ll need to select another team member to inherit those responsibilities.
🛠️ Steps to Delete a Team Member
- Navigate to the Company area.
- Locate the team member.
- Click Delete.
- In the reassignment window:
- Select a new Primary Owner (if required)
- Select a new Secondary Owner (if required)
- Confirm the deletion.
Once complete, the user will be permanently removed from the account.
⚖️ Deactivate vs Delete: What’s the Difference?
| Action | Login Access | Systems & Ownership | Reversible |
| Deactivate | Disabled | Remains unchanged | Yes |
| Delete | Removed | Must be reassigned | No |
🚀 Recommended Best Practice
If you may need the user again in the future, it’s generally best to deactivate them rather than delete them. Use delete only when you’re certain the user no longer needs access and ownership has been reassigned appropriately.
🎉 You're All Set!
