How to Format Blocks of Text

Learn how to use Heading 3 and bold formatting for main process steps, use correct line breaks to avoid layout errors, and apply lists for clear sub-details.

🏗️ Set Up Main Steps

For a clean and professional look, use a clear hierarchy for your process steps.

  1. Type out your main step, for example, "Step 1: Process Name".
  2. Highlight the text and select Heading 3 from the formatting menu.
  3. Apply Bold to the text to ensure it stands out as a primary instruction.

⌨️ Use Proper Line Breaks

The way you move to the next line affects how the system applies formatting.

  • Always use Enter: At the end of your main step, press the Enter key. This creates a new paragraph block and provides clean spacing.
  • Avoid Shift + Enter: Using Shift + Enter keeps the text in the same block. If you change the first line to a Heading, the second line will automatically change too, which can cause formatting issues.

📝 Add Sub-Details with Lists

To explain a step in more detail, use nested lists rather than plain text.

  1. After hitting Enter from your Heading, click the Bulleted List or Numbered List icon in the toolbar.
  2. The system will automatically apply the correct indentation and "Paragraph" font size.
  3. Type your details, for example, Test 1, Test 2, Test 3.

📏 Ensure Consistent Spacing

To keep the document scannable, maintain uniform gaps between steps.

  1. Once you finish your list of sub-bullets, hit Enter twice.
  2. This creates a consistent "white space" buffer before you start the next Heading 3 for the following step.

🎉 You're All Set!

You have mastered the formatting hierarchy for your process steps. Using clear headings, correct line breaks, and consistent spacing keeps your systems beautifully organised and incredibly easy for your team to scan at a glance!
