Policies Overview and Templates
This video explains how to organise, customise, and manage internal policy documents using systemHUB's Policies section.
1. Understand the Purpose of Policies
While Systems focus on the "how-to" of tasks, Policies are the "rules of the game." They represent your internal business standards and are essential for culture and compliance.
-
Onboarding Tool: Policies are the first thing a new hire should review to understand the company's expectations, values, and structure.
-
Centralization: Even if you have documents in Google Docs or SharePoint, moving them into systemHUB ensures your team has one single source of truth for all operational knowledge.
2. Utilize Policy Templates
If you don't have established policies yet, you don't have to start from scratch. systemHUB provides a Policy Templates section.
-
Explore: Browse the generic templates provided in the demo section.
-
Adopt: Find a template that fits your needs (e.g., an "Introduction" or "Company Overview").
-
Custom Move: Right-click the template, select Duplicate, and move it into your own specific folder (like "New Team Member Onboarding").
3. Key Policies to Include
To make your policy section effective, prioritize these foundational documents:
-
Company Introduction: Copy the "About Us" or "Company Overview" from your website.
-
Org Chart: Upload or link your organizational chart so new hires understand the "who's who" and the reporting structure.
-
Team Member Obligations: Clearly outline expectations regarding conduct, communication, and security.
4. Manage Your Policies
The functionality in the Policies section is identical to the Systems section, making it easy to learn:
-
Copy & Paste: Easily move existing content from other platforms directly into the systemHUB editor.
-
Duplicate: Create variations of policies for different departments or roles.
-
Consistency: Just like systems, policies can be tagged, color-coded, and assigned to specific roles for sign-off.
