Search returns no results / can't find a system

Learn how to troubleshoot empty search results in systemHUB by checking publication statuses, user permissions, delayed indexing, or limitations within body text and tag fields.

🔍 Common Causes for Empty Search Results

When systemHUB search returns nothing for content you know exists, the cause is usually one of the following factors:

1. The Content is Not Published

Drafts do not appear in global search results. Open the system you are looking for via your sidebar folder navigation and confirm its status is set to Published, not Draft.

  • To publish: Open the document -> Click Edit -> Click Publish.

2. You Do Not Have Permission to See It

Search results strictly respect your platform Role and document assignments. Readers and Contributors only surface content they have explicit permission to access. If a system is not assigned to you, it will not appear in your search results even if it exists.

  • The fix: If you are a Reader or Contributor and expect to see a document, ask your Admin to confirm it is assigned to your profile, Role, or Member Group.

3. Search Indexing is Delayed

Newly created or recently updated systems take a short period to index and appear in search results. If the system was created in the last few minutes, please wait a moment and try your search again.

4. You Are Searching the Wrong Field

The default search algorithm is optimized for high-level indexing. It scans specific fields and ignores deep body text:

  • What it searches: System, Policy, or Training titles, Document Overview text, and Tags.
  • What it does NOT search: Document Details body text, Comments, and Attachment file contents.

If your search term is hidden deep within the body content but is not included in the title or tags, the system will not surface in your search results.

5. Tag Matching Issues

If you rely heavily on tag-based searching, confirm the following parameters:

  • The tag exists exactly as you are typing it.
  • The tag has actually been applied to the target system.

💡 Pro Tip: Always use the built-in tag picker rather than typing freeform, as it dynamically surfaces existing company tags as you type.

For Admins and Editors building out your knowledge base, use these structural habits to ensure your team can always find documents instantly:

  • Write rich summaries: Add detailed Document Overview content, as this section is fully indexed and searchable.
  • Tag your documents: Apply meaningful, relevant tags to every single system you publish.
  • Stay consistent: Use consistent terminology across all company systems.

For example, a system named "Customer Onboarding" with the tags "onboarding, customer, sales" will surface for significantly more user queries than a document simply named "Process #4" with no tags attached.
