Trash Feature
Learn how to view, restore, or permanently delete items from your systemHUB Trash, manage user access permissions, and ensure compliance records remain preserved.

🗑️ How to Access Trash
When you delete a system, policy, training, or folder, it is not gone immediately, it goes to Trash. From there, you can restore it for a period of time before it is permanently removed.
- Navigate to the left sidebar and click Trash.
- Review your deleted items, which are automatically sorted by date.
- Use the filter options to sort by item type if needed.
🔄 How to Restore an Item
- Open the Trash menu from the sidebar.
- Find the item you want to recover.
- Click the Restore button.
- The item will automatically return to its original folder.
ℹ️ Note: If the original folder has been deleted too, you will be prompted to choose a new destination folder for the restored item.
⏳ How Long Do Items Stay in Trash?
Items remain recoverable in the Trash folder for a specific period before being permanently deleted.
🚨 Permanent Deletion
If you are completely certain you want to remove an item forever:
- Open the Trash menu.
- Click on the item you wish to remove.
- Click Delete permanently.
- Confirm your choice in the pop-up window.
⚠️ Warning: Permanent deletion cannot be undone, the item is gone forever.
📜 What About Agreements and Sign-offs?
If you delete a system that had agreements or sign-offs against it, those records remain in your audit log even after the system is placed in Trash and after permanent deletion. Your compliance history is always preserved.
🔐 Who Can Access Trash?
By default, access to the Trash folder depends on your user role:
- Account Owner: Full access to view, restore, and delete all items.
- Admin: Full access to view, restore, and delete all items.
- Editor: Full access to view, restore, and delete all items.
- Contributor: Can recover only items they created or owned.
- Reader: No access to Trash.

❓ What if I Can't Find a Deleted Item in Trash?
If an item is missing from your Trash folder, consider the following possibilities:
- Permanently Deleted: The item has already been permanently deleted and is gone.
- Role Restrictions: Your role does not have access to view it, remember, a Contributor can only see their own deleted items.
- Archived or Unpublished: The item was archived or unpublished rather than deleted. Check the parent folder for unpublished items.
